Most clinic admin comes from the same few tasks: booking and reminders, intake forms, referrals, billing, and typing the same data into several systems. You can automate most of them. Ready-made clinic software covers the simple cases. Custom automation makes sense when your systems don’t talk to each other, or your process doesn’t fit the software.
Here is how to find out which one you need.
Where does the time go in a clinic?
Most teams lose hours in the same places:
| Task | What it looks like by hand |
|---|---|
| Booking and reminders | Phone calls, manual confirmations, chasing no-shows |
| Intake forms | Paper or PDF forms, then typing them into the patient record |
| Referrals | Emails and letters sorted by hand, then sent to the right person |
| Billing and insurer claims | Invoices built by hand, payments chased by hand |
| Reports | Numbers copied from three systems into one spreadsheet |
| Patient messages | The same questions answered again and again |
Count the hours your team spends on each one in a normal week. That is your starting point.
Is ready-made software enough?
For many clinics, yes. If you are one site, with one system, and standard bookings and billing, a ready-made clinic system with reminders and online forms will probably do the job. It costs much less than a custom project. We’d tell you to buy it.
When is ready-made software not enough?
These are the signs:
- Your systems don’t talk to each other. Staff copy data from one to another every day.
- You have more than one site, each with slightly different rules.
- Referrals follow your own rules, and the software can’t sort them the way you do.
- Billing is complicated. Several insurers, several price lists, special cases.
- Reports take days because the data lives in different places.
- You already tried software and your team built workarounds around it.
If three or more are true, custom automation is worth a conversation.
What should you automate first?
Pick the task that is repeated often, follows clear rules, and wastes the most hours. For most clinics that is one of these:
- Intake forms into the patient record. The form is filled in online and the data lands in the right place.
- Reminders and confirmations. Messages go out on their own, and cancellations free the slot.
- Referral sorting. New referrals are checked and sent to the right team.
- Billing and claims. Invoices are built from the visit data, and late payments are flagged.
Start with one. Measure the hours before and after. Then decide on the next.
What should stay with people?
Automation should handle admin, not medical decisions. Diagnosis, treatment and anything that needs clinical judgment stays with your staff. We automate the preparation around it: collecting documents, routing the case, sending reminders.
What about patient data and GDPR?
This is the first question every clinic should ask any vendor:
- Where is patient data stored, and in which country?
- Who can see it?
- What is logged, and for how long?
- What happens to the data if we stop working together?
How much does it cost, and how long does it take?
One automated process usually costs €25,000 to €40,000 and takes 4 to 6 weeks. Several connected processes cost €60,000 to €150,000 and take 3 to 6 months.
Pay-back formula you can use yourself:
Price of automation ÷ monthly cost of the manual work = months to pay back. If the answer is under 12 months, it is worth a closer look.
How to find out if it fits your clinic
We offer a short check called the Operational Quick Scan. A senior consultant looks at your five most expensive processes, picks the two or three worth automating, and gives you the expected return in numbers.
If ready-made software is enough for you, we’ll say so.

Common questions
What is administrative burden in a clinic?
All the tasks that keep the clinic running but aren’t patient care: scheduling, forms, billing, reports and paperwork.
Can we automate admin without changing our patient record system?
Usually yes. We build around the systems you already use.
Will it replace our staff?
No. It removes repetitive typing and chasing, so your team spends more time with patients.
